Administrative Assistant, Oculus Research

The Oculus team is seeking an experienced Administrative Assistant to support 2-3 Directors and Researchers on our Oculus team as well provide general support to the Sausalito office. The ideal candidate will have exceptional communication skills and will have the ability to partner closely with Oculus and other cross functional teams. This person should be process focused, highly organized, energetic, detail-oriented, a problem-solver and exhibit sound judgment. This position is full-time and located in Sausalito, CA.

Responsibilities

  • Perform administrative tasks including: complex calendar management for internal and external meetings, manage domestic and international travel arrangements, and complete expense reports
  • Support the Sausalito office with facilities and vendor management
  • Manage team meeting schedule, structure, agenda and follow-up
  • Project manage all logistics for team off-sites
  • Assist in the preparation of presentations and data collection
  • Build cross-functional relationships with key partners in other offices
  • General office duties as needed

Minimum Qualification

  • 3+ years of experience providing direct administrative support to 1 or more executives
  • 3+ years of experience coordinating domestic and international travel logistics on behalf of 1 or more executives
  • 3+ years of direct calendar management and expense report management for 1 or more executives
  • Experience in Microsoft Office Suite
  • Experience juggling projects simultaneously
  • Experience with maintaining confidentiality
  • Experience with event planning
  • BA/BS

Preferred Qualifications

  • Prior office management experience
